Game Rider Ltd – Gaming Van Hire

  1. Bookings & Deposits

1.1 Payment To secure your booking, a £50 deposit is required via BACS (bank transfer).No bookings are reserved without this deposit. The remaining balance is due on the day of the event.

1.2 Cancellations Deposits are non-refundable unless the cancellation is caused by Game Rider Ltd.

1.3 Changing the Date A minimum of 4 weeks’ notice is required to reschedule your booking. Less than 4 weeks’ notice will be treated as a cancellation, and the deposit will be forfeited. A new £50 deposit will be required to rebook. In exceptional cases, management may reschedule without charge, but this is not guaranteed.

1.4 Arrival We aim to arrive with enough time to set up. If delayed due to traffic or unforeseen issues, your booked gaming time will still be honoured, but no compensation will be Given.

1.5 Our Right to Cancel Game Rider Ltd reserves the right to cancel bookings due to force majeure (e.g. severe weather, staff illness, technical failure). If a suitable alternative date cannot be agreed, all payments made will be fully refunded.

1.6 Travel & Pricing Standard pricing includes travel within a 40-mile round trip from postcode WV1. Travel time is calculated using Google Maps plus 10% to account for van speed.

2.Age & Gaming Content

2.1 Age-Appropriate Gaming We follow the preferences of the person who books the event regarding age-appropriate games. You may request any age rating to suit your party.

2.2 Age of Attendees We welcome players of all ages. Younger children (around age 5–6) may require more support, which our team will happily provide during the session.

3. Equipment & Gameplay

3.1 Console UpdatesWe regularly update our consoles. However, we cannot control when new updates arereleased. If a game (e.g. Fortnite) requires an update during your event, we accept no liability for unavailability.

3.2 Technical Issues Should technical issues reduce gaming time or screen use, a discretionary discount may be offered post-event.

3.3 Internet Access Our van uses 4G/5G for online gaming. If signal is poor, we may ask to connect to your internet via Ethernet. If neither option is viable, offline games will be prioritized. No discounts will be issued due to internet issues.

4. On-Site Requirements

4.1 Parking & Access

  • Our van requires 8 metres in length for safe parking on a flat surface.
  • The event organizeris responsible for ensuring access, clearance, and any neighbour coordination.
  • Parking fees are the responsibility of the organiser.
  • We accept no liability for damage to ground surfaces (e.g., grass, decorative driveways).
  • If access is unsafe or restricted, we reserve the right to abandon the event without refund.

4.2 Power Supply A standard plug socket must be available within 50 metres of our parked van. In cold conditions, a second socket may be required for heating. Failure to provide power may result in cancellation without refund.

5. Behaviour & Conduct

    • 5.1 Aggressive BehaviourWe reserve the right to remove anyone from the van who behaves aggressively or damages equipment (“game raging”). The booking party will be liable for any repair or replacement costs.

5.2 Offensive Conduct We do not tolerate bad language, threats, disrespect, or aggression. We may remove individuals or end the event entirely without refund.

5.3 Alcohol & Substances Anyone under the influence of drugs or excessive alcohol may be removed. Continued issues may result in gameplay being stopped.

6. Health & Safety

  • Entry into the van is at your own risk.
  • No smoking, vaping, food, or drink allowed inside unless permission is given.
  • Our staff are fully DBS checked (certificates available on request).
  • We hold full Public Liability Insurance.
  • The van contains flashing lights, which may trigger photosensitive reactions. Viewer discretion is advised. We are not responsible for any photosensitivity-related incidents.
  • The van is not wheelchair accessible internally, but we can offer limited access via our external screen.

7. Photography & Media

Photos/videos may be taken for promotional use on our website or social media. You can opt out by notifying us before the event. You are welcome to take your own photos.

8. Terms of Use

  • Equipment is strictly for private hire.
  • Game Rider Ltd does not charge individuals to play games—our fee covers the hire of the van and audiovisual equipment only.
  • Participants may bring their own games.
  • We reserve the right to update service details (pricing, coverage area, time slots) without notice. Existing bookings will not be affected.
